for Workshops & Lectures by Sharon Schamber

A signed copy of this document must be a part of any agreement between Sharon Schamber and your group. ALL requested information must be filled out, signed by you, and returned to Sharon Schamber no later than 90 days prior to Sharon's departure for your venue. (120 days for international venues) If you would like to reserve dates before you know the exact locations of your events, or the exact workshops your group wants to book, you can send a preliminary request on dates, to reserve time in her schedule for your group. If your group has its own contract, this contract will also be needed, in addition to your contract. Please cross out and initial any clauses in your contract that are in conflict with the requirements spelled out below.

EVENT FEES: The stated fees are valid for all contracted events beginning January 1, 2014 through December 31, 2015.

TRANSPORTATION
BY AIR: Booking organization will reimburse Sharon Schamber Quilts for round-trip airfare, baggage fees, mileage to/from the airport using the current IRS mileage rate, highway tolls, airport parking fees, porter and cart fees. Airfare will be booked at least six weeks prior to the engagement and the itinerary will be emailed to the organization no less than two weeks prior to date of the event.

GROUND TRANSPORTATION: The booking organization will make arrangements to meet Sharon at the airport with a vehicle large enough to accommodate three 50lb suitcases. Organization MUST provide assistance capable of loading and unloading the luggage at the airport, AND at the event.

PERSONAL VEHICLE:
When Sharon is required to bring a large number of quilts to a venue, within a 150 mile radius of our studio, the booking organization will reimburse Sharon Schamber Quilts for mileage to/from the venue using the current standard IRS mileage rate, parking fees and highway tolls.

LECTURE & WORKSHOP FEES

LECTURES:
$400 per lecture. Sharon must be the last presenter at the venue or guild meeting. She will require three helpers to assist her before and after her presentation. She will also need two 6ft tables to hold her quilts.

CLASSES/WORKSHOPS
: $800 per full day (6 hour) classes and workshops. Class size: 17 Additional students: $30 per student per day. Maximum number of students: 25 providing the classroom is adequate. Handout fee: $20 or more, depending on the class.

• Supply list MUST NOT be edited. If the booking organization has an issue with the supply list they MUST notify Sharon a minimum of two weeks prior to the event. Adequate power supply MUST be provided. She also requires an assistant during the workshop. Water MUST be provided. Students will need a 3ft minimum work space. No auditing of classes/workshops.

HANDS-ON LONGARM CLASSES:
$150 per student per full day (6 hour) hands-on classes. Class size: 20 Additional students: $90 per student per day. Maximum number of students: 24 providing the classroom is adequate. Handout fee: $20 or more, depending on the class.

• Sharon requires one assistant during the workshop. Water MUST be provided. No auditing of classes/workshops.

LECTURE/DEMO LONGARM CLASSES: $85 per student per (2 or 3 hours) class. Class size: No limit; providing the classroom is adequate. Handout fee: $20;

• Sharon requires one assistant during each workshop. Water MUST be provided. Students will need a 3ft minimum work space. No auditing of classes/workshops.

INTERNATIONAL WORKSHOPS
All fees are listed in US dollars. Unless other arrangements have been made in advance, payment from your group will be in the form of an international money order in US dollars directly into Sharon's band account.

If the workshop will be held in a country other than the United States, the guild/conference organizer will be responsible for researching customs requirements, filling out customs forms, official invitations, or other required documents, and when necessary, arranging to have the necessary paperwork ready at Sharon's port of entry. If Sharon will be required to apply for a work permit in your country, she must be notified 120 days prior to leaving for your event, and your group will be responsible for any and all fees. Under no conditions will Sharon be expected to deceive or mislead customs officials when entering your country.

EXPENSES

LODGING:
The booking organization is responsible for providing a private hotel, motel, or dormitory (if held on a university campus) (no private homes) during the term of the contract, this includes lodging the night before and/or after if it's included in Sharon's travel itinerary. Sleeping rooms must be free of pet hair, cigarette smoke, mold or mildew.

• Fresh fruit such as, apples, bananas and grapes must be provided throughout her stay. Food must be available in or near the hotel.

PER DIEM: The booking organization is responsible for all meals and refreshments during the term of her contract. Per diem: Minimum $45 per day including travel days. If venue requires Sharon to dine at their location the per diem rate will increase to accommodate this requirement.

EXTRA DAYS: If Sharon needs to spend extra time at your location in order to save the guild or conference money on air fare your guild/conference will be responsible for all expenses on these extra days.

• If Sharon will be in your area for extra days in order for your group to share expenses with other groups in your area, the guild/conference will be responsible for sharing all expenses on these extra days with the other groups involved.

• Sharon needs at least one day of rest after seven days of teaching and traveling before teaching additional workshops. Your guild /conference will be responsible for expenses on these days. These expenses may be shared by other groups in the event that this is a multi group tour.

CANCELLATIONS: The booking organization may cancel a lecture, class or workshop as follows: 90-Day Cancellation: 25% of the fees listed above; 60-Day Cancellation: 50% of the fees listed above; 30-Day Cancellation: 75% of fees stated above.

The Guild may cancel at any time due to sufficient enrollment at any time prior to the purchase of a non-refundable airline ticket, or any other expenses incurred by Sharon Schamber. If a workshop is cancelled due to insufficient enrollment, Sharon Schamber must be notified before she incurs any expenses. If a workshop is cancelled after the purchase of airline tickets, the guild will be responsible for paying for the tickets. If a workshop is cancelled, and coming to your group for fewer workshops or lectures than originally agreed upon in this contract will cause economic hardship for Sharon Schamber, she reserves the right to cancel the remainder of the contracted workshops/lectures. If your workshop cancels in the middle of a multi-venue tour, your group will be responsible for covering Sharon's daily minimum fee of $800. If an engagement is cancelled while Sharon is en route or at the engagement location, the sponsor will be responsible for all contracted fees. If Sharon is unable to fulfill the contract due to illness, injury, or serious family emergency all previously incurred expenses are her responsibility.

SALES: Sharon sells a variety of kits, patterns, and supplies during her classes and at events. Booking organization will not receive a percentage of the sales. Sharon will not promote these items during class, nor will she spend time in class selling them. They are simply available for interested students.

• Sharon will require one 6ft table for her merchandise and one person to assist with sales.

SHARING EXPENSES: When expenses are shared by several groups, expenses will be split for groups having similar programs. If groups sharing expenses will have disproportionately more or disproportionately less events than other groups, expenses will be apportioned fairly. Each group will be charged a percentage of total airfare, parking, tolls, and mileage, as well as meals, and lodging on rest and travel days. Individual groups will be responsible for lodging and meals on the days I am working for them. In order to simplify accounting, a $45.00 per diem will be assessed for meals on days when they are not provided by your group.

If your group would like to reserve future dates, but has not yet booked a venue or made decisions on which workshops to schedule, a copy of the Preliminary Agreement on Dates may be used to reserve the time in Sharon's schedule. A completed copy of this contract must subsequently be forwarded at a later date and at least 60 days before the scheduled workshops/lectures. (90 days for international venues) Contracts that have not arrived by 60 days prior to the scheduled dates are subject to cancellation by Sharon. Airline tickets will not be purchased until a contract is completed.

The Guild/Conference will provide the name of a second person in your organization who can be contacted in the event that the organizer/program chair is not available.

AGREEMENT OF PROGRAM CHAIR/CONFERENCE DIRECTOR TO DISTRIBUTE THIS INFORMATION: The program chairperson understands that she may not be the person doing airport pickups, preparing meals, and setting up class and lecture rooms. She may also have passed on the office of program chair to someone else before Sharon's visit. Therefore, the program chairperson agrees to pass on the information contained in this Letter of Agreement to all of the group members, hostesses and caterers, etc., in charge of these activities.
